Hearit.AI is operated by GMIC AI Inc. (“GMIC AI Inc.”, “Hearit,” “we,” “us,” or “our”). We provide AI-powered audio capture devices, mobile applications, and related services (together, the “Services”), including the Hearit.AI / GMIC AI application. This Privacy Policy explains what information we collect, how we use and share it, and the choices and rights you have. It applies to our websites, apps, and devices.

1. Information We Collect

Information you provide

  • Account information — such as your name, email address, and password when you register.
  • Audio recordings and voice data — when you actively start a recording with a Hearit device or in the app, we capture the audio you record and derived data such as transcriptions, notes, and summaries. Recording is initiated by you (for example, by pressing a button); the device is not designed for continuous, always-on listening.
  • Purchase and order information — if you buy from our store, such as shipping address and order details. Payments are handled by third-party payment providers; we do not store full card numbers.
  • Support communications — information you provide when you contact us.

Information collected automatically

  • Usage data — how you interact with the Services, including features used and session times.
  • Device information — hardware model, operating system version, unique device identifiers, app version, and network information.
  • Diagnostics — crash logs and performance data to keep the Services reliable.

2. How We Use Your Information

  • Provide, operate, and maintain the Services, including recording, transcription, and AI features.
  • Process transactions and deliver orders.
  • Improve, personalize, and develop new features.
  • Communicate with you about your account, updates, and support.
  • Protect the security and integrity of the Services and prevent fraud or abuse.
  • Comply with legal obligations and enforce our Terms of Service.

3. Audio Data — How We Handle It

Your recordings belong to you. We process audio and its transcriptions solely to provide the features you request (such as creating notes, transcriptions, and summaries) and to improve the accuracy and reliability of those features. To perform speech-to-text and AI processing, audio or text may be sent to trusted third-party AI service providers acting on our behalf, including OpenAI and Groq; for Chinese-language processing we may use Volcengine (火山引擎). These providers process the data to deliver the requested feature and are bound by confidentiality obligations. We do not sell your recordings, and we do not use the content of your recordings for third-party advertising.

4. How We Share Information

We do not sell your personal information. We share information only in these limited circumstances:

  • Service providers — cloud hosting; AI and speech-to-text processing (such as OpenAI, Groq, and Volcengine); analytics (such as Google Analytics); customer support; shipping; and payment processing. They may access information only to perform services for us.
  • Legal and safety — when required by law or legal process, or to protect the rights, property, or safety of GMIC AI Inc., our users, or others.
  • Business transfers — in connection with a merger, acquisition, or sale of assets, subject to this policy.
  • With your consent — when you direct us to share.

5. Data Retention, Account & Data Deletion

We retain your information for as long as your account is active or as needed to provide the Services and meet legal obligations. You can delete your recordings at any time within the app.

You may delete your account and associated personal data at any time. You can request account and data deletion within the app, or by emailing us at ai@hearit.ai. Once verified, we will delete your account and personal data, except information we are required to retain for legal, accounting, or security purposes.

6. Your Rights and Choices

Depending on where you live, you may have the right to access, correct, delete, or export your personal information, and to object to or restrict certain processing. To exercise these rights, contact us at ai@hearit.ai.

California residents have rights under the CCPA/CPRA, including the right to know, delete, correct, and opt out of the “sale” or “sharing” of personal information. We do not sell personal information. Residents of the EEA/UK have rights under the GDPR.

7. Tracking and Advertising

We use analytics services, including Google Analytics, to understand how our websites and product are used so we can improve them. We do not include third-party advertising SDKs in our app, and we do not use your personal information to track you across apps and websites owned by other companies for advertising purposes. You can control cookies through your browser settings.

8. Children’s Privacy

The Services are not directed to children under 13 (or the minimum age required in your jurisdiction), and we do not knowingly collect personal information from them. If you believe a child has provided us personal information, contact us and we will delete it.

9. Data Security

We use administrative, technical, and physical safeguards designed to protect your information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

10. International Data Transfers

We are based in the United States and may process and store information in the United States and other countries, including through the service providers described above. Where required, we use appropriate safeguards for cross-border transfers.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated version here and revise the “Last updated” date above. Material changes will be communicated where required.
